Booking the hall — your questions answered

Getting started
How do I book the hall?
Please use the booking form. You’ll enter your details, choose your date and times (checked live against what’s already booked), add any extras, read and sign the hire agreement, then pay securely by card. You’ll get a confirmation email with your invoice straight away.
Can I check whether my date is free first?
Yes. As you choose a date and time on the form, it checks availability and tells you if that slot is already taken. You can also see what’s already happening on the hall’s “what’s on” calendar.
Do I need an account?
A simple account is set up as part of booking, so afterwards you can view your bookings, download your invoice and hire agreement, and manage things. You can sign in any time.
Can I view the hall before booking?
Absolutely — we’re happy to show you round. Get in touch (details at the bottom of this page) and we’ll arrange a convenient time.
The venue
How many people does the hall hold?
Up to 80 people seated, or 100 standing, depending on the type of event.
What facilities are included?
- A fully equipped kitchen (microwave, kettles, crockery and glasses)
- Tables and chairs
- An accessible toilet
- Heating
- Wi-Fi
Is the hall accessible?
Yes — there’s step-free access, an accessible toilet, and wide internal doors.
Is there parking?
Yes — there’s on-site parking, with additional public parking nearby.
What are the hire hours?
The hall is generally available from 8:30 am to 10:30 pm, seven days a week, and special arrangements may be possible — just ask. When you book, the form shows the times you can actually choose.
Cost & payment
How much will it cost?
The form works out the exact price as you choose your date and times, so you’ll see the full total before you pay. Hire is charged by the hour (with a reduced rate for regular hirers), plus a refundable security deposit, plus any extras you choose.
Is there a deposit?
Yes — a refundable security deposit is included. It’s returned to your card after your event, provided there’s no damage or problem. If there is, the hall will let you know what’s been kept and why.
How do I pay?
Securely by debit or credit card at the end of the booking. Your card details are handled by our payment provider (Stripe) — the hall never sees or stores them.
Will I get an invoice or receipt?
Yes. Your confirmation email includes an invoice (PDF), and you can download it again any time from your account.
Your event
Can I add extras, like the kitchen?
Yes — the form lists the facilities and extras available, each with its price, and adds anything you choose to your total.
Is setup and clear-up time included?
A little setup and clear-up time is added around your booking automatically, so you’re not rushed. The form shows your access times.
What if my event will serve alcohol?
You’ll be asked to tell us, and to agree to the alcohol terms. If you plan to sell alcohol you’ll need a Temporary Event Notice (TEN) from West Oxfordshire District Council. You can share your licence with the hall before your event by uploading a file, taking a photo, or arranging to hand in a paper copy — we’ll send friendly reminders so it isn’t forgotten.
Is the hall suitable for children’s parties?
Yes — it’s a popular choice for children’s birthdays and family events. Please note that bouncy castles aren’t permitted in the hall.
Can I decorate the hall?
Yes — please avoid anything that could leave marks (for example pins, or tape on paintwork), and take all decorations down after your event.
Are there any restrictions on the type of event?
We welcome most community and private events. As the hall is in a residential area, late-night parties with amplified music may not be suitable.
Can I book a regular, repeating slot?
Yes — regular hirers can book recurring slots (for example weekly or monthly) at a reduced subscription rate. Choose the recurring option on the form, or ask the hall if you’d like help setting one up.
Changing your mind
Can I change or cancel a booking later?
You can view and manage your bookings from your account. Whether you can cancel online, and what refund applies, depends on the hall’s cancellation terms and how far ahead you cancel — these are shown to you when you book and again if you cancel.
What happens to my deposit if I cancel?
If you’re due a refund, your security deposit is returned in full as part of it. You’ll receive a credit note by email showing exactly what has been refunded.
On the day
Who do I contact in an emergency during my hire?
Emergency contact details are included in your booking confirmation pack, so you’ll have them to hand on the day.

Yes, a refundable security deposit is required to secure your booking. This will be returned after your event, provided no damage or extra cleaning is required.

Yes! The hall is a popular venue for children's birthday parties and family events. Unfortunately bouncy castles are not permitted in the hall.
